Constituents and staff can schedule a payment for an order to be made in the future. Scheduled payments are useful in situations where products being purchased do not require immediate payment or the constituent will have the funding in place for the payment on a future date.
How Do They Work?
Scheduling a payment for a cart creates a schedule record and a relatedschedule line record which represent when a payment will be made and the amount of the payment. The schedule also relates to a stored payment method for the constituent, which is used to make the payment.
A scheduled job runs automatically—typically nightly—to make the scheduled payments. Learn more about Payment Processing.
When the payment is made, Nimble AMS creates the necessary payment record, accounting transactions, and converts the cart to an order.
To ensure you have control over who can view and update scheduled payments, there are two permission sets you can assign to your staff:
Nimble AMS Schedule View All
View All permission for the Nimble AMS Schedule and Schedule Line objects, including the tabs, all record types, and all fields.
Nimble AMS Schedule Create & Modify All
Create & Modify All permissions for the Nimble AMS Schedule and Schedule Line objects, including the tabs, all record types, and all fields.
To match your associations business process, you can control whether staff and constituents can schedule payments by creating evaluations for the following business rules:
|Allow Community Scheduled Payments||Whether the current Community Hub user can schedule payments.|
|Allow Scheduled Payments||Whether the staff user can schedule payments or not in the order wizard.|

Nimble AMS includes processes and email templates which send email notifications to constituents at different points in the scheduled payment process. You can clone these processes and edit these email templates to customize the email notifications to fit your association's business process. You can also use Nimble Create to build even more powerful email notifications.
Schedule Line - Send Constituent Emails
|When a schedule line fails, processes, is updated, or is processing soon, send the constituent an email.|

Schedule a Payment
Staff can schedule a payment for a cart or on an order.
Staff can schedule a payment for a cart in the Staff View order process by clicking Schedule Payment and selecting
Pay. Learn more about scheduling a payment in the Payment Step of the Staff View order process.

View a Constituent's Upcoming Scheduled Payments
Once an administrator has enabled the Scheduled Payments flow and added it to a Lightning record page for accounts, staff can view a constituent's recent or upcoming scheduled payments for a particular status. The flow is visible from the account record page's Notifications tab in the right sidebar, unless your administrator placed the flow elsewhere.
For the account you're viewing, the flow displays all schedule lines with one of the following statuses: canceled, failed, pending, or processed. If the administrator also specified a number of days to include, the flow limits the results to a relative date range. The flow clearly displays the status as well as the date range, if there is one.
In the list of results, staff can click the link to view a specific schedule line, where they can view more details or take action.
View the Health of a Scheduled Payment
Staff can view two different fields to understand where a scheduled payment is in the process and whether there is any need to manually intervene:
Healthon the schedule, you can view a visual indicator for the current stage of the scheduled payment.
Statuson the schedule line, you can view where the scheduled payment is in the process.
Pay a Scheduled Payment Immediately
Staff can manually pay a scheduled payment before it is scheduled to be paid or after it fails. This is useful in situations where a constituent wants to pay early or staff made a correction to a previously failing scheduled payment and they want to immediately retry the payment.
To pay a schedule line immediately, click Pay Now.
Edit a Scheduled Payment
Staff can edit details of a scheduled payment from a few different places in Nimble AMS:
- In the Staff View order process, make changes within the Scheduled Payments section in the Payment Step.
- From an order or cart, click the name of the schedule in the Schedules related list, click the name of a schedule line in the Schedule Lines related list, and click Edit.
Cancel a Scheduled Payment
Staff can cancel a scheduled payment from a few different places in Nimble AMS:
- Within the Scheduled Payments section in the Payment Step of the Staff View order process, click | Delete scheduled payment.
- From an order or cart, click the name of the schedule in the Schedules related list, click the name of a schedule line in the Schedule Lines related list, and click Cancel.
When cancelling all the products in an order and submitting it in the Staff View order process, the scheduled payment is cancelled if it's pending and failed. Staff can refund a completed payment on the Payment Step.
The schedule and schedule line records are retained after cancellation, but we recommend you make a note on the schedule detailing why the cancellation was made.
By default, constituents can only pay using scheduled payments when
Trusted is selected on their account. Learn more about trusted accounts.

Things to Keep in Mind
- When constituents schedule a payment for an order with an outstanding balance on the My Orders Page in Community Hub, they can no longer edit that order. This means constituents cannot adjust the amount of a donation in the order. To adjust the donation amount, constituents must first cancel the scheduled payment on the My Scheduled Payments Page.
- If you've previously enabled bill me in your org, and
Trustedis selected on some constituents' accounts, by default, those same constituents will also be able to pay using scheduled payments in Community Hub. Learn how to configure trusted accounts.
