Add Merchandise Page

New Order

When ordering merchandise for a constituent, the Add Merchandise page is the part of the order process where you select the merchandise to include in the merchandise cart item. Merchandise is a type of product in Nimble AMS, and is created with information on the merchandise, pricing, inventory, and shipping weight.

When you are done using this page, the selected merchandise products are added to a merchandise cart item, which is added to the cart.

Getting Started

Choosing a Customer

You can use Customer to select the constituent who is the customer purchasing the merchandise. This determines who will be listed on the merchandise cart item. By default, the Bill To account for the cart is selected as the customer but you can change this by entering constituent's full or partial name and clicking

Nimble AMS, Staff View, Button, Lookup. If more than one account is found that matches the name entered, a message displays to let you know and you can choose which account to use as the customer.

Choosing an Entity

If your association has multiple entities, you can use Entity to select the entity offering the merchandise product(s) you would like to select. By default, the configured primary product is selected.

Choosing a Price Class

You can use Price Class to select the price class to use for the customer which controls the prices for the displayed merchandise products. If the customer is a current member, the selection defaults to Member. If the customer is not a member, the selection defaults to Default.

"Price class" controls the prices for the displayed merchandise products. Use it to select the price class for the customer. The price class is auto-selected based on the Staff User’s recent purchases. To avoid getting different price classes for the staff user and the ‘Bill To’ account, we recommend that you manually select the appropriate price class.

Viewing Merchandise

Merchandise displays in groups of 15 by default, but you can click to show 10 products or 20 products in the Product List section as well. If there are multiple groups of products, you can browse merchandise by clicking to move to the next group or back to the previous group. Some information displays for each product:

  • Product—Merchandise product name, you can hover over the product name for more information.
  • Categories—The category or categories to which the merchandise product is linked
  • Inventory—Current inventory level for the merchandise product.
  • Unit Price—Unit price for the merchandise product based on the price class.

Searching Merchandise 

In addition to browsing through groups of merchandise products, you can also select a category and type in Product Search, which shows a list of selectable results from which you can choose, and click Search to filter down the Product List section. 

When you click the Category List
, you'll see a list of categories and dynamic product categories. You can select an option in the Category List
 to filter and browse through the merchandise products, and each type provides a different browsing experience.

Recently Purchased Merchandise

By default, Recently Purchased is selected and the Product List section displays the last 15 merchandise products you have ordered, with the most recently ordered first. Administrators can customize this products category to fit the needs of your association.

All Merchandise

When you select All and click Search, the Product List section displays the first 15 merchandise products for the selected entity sorted alphabetically. You can browse and search to find the merchandise product you are looking for. Administrators can customize this products category to fit the needs of your association.

Merchandise Category

When you select a category and click Search, the Product List section displays the merchandise products in the selected category.

All categories in the Category List
 are listed without hierarchy, even if they are linked to other categories as sub-categories.

Also, if you if your org has no category records with category product link, only the Recently Purchased and All product categories are available for selection. If you also disable all product categories, such as Recently Purchased and All, the Product List section displays all merchandise and offers no categories to from which to choose.

Selecting Merchandise

Merchandise products in the selected category displays and you can hover over the product name to see some record detail or click to browse to the record for more information.

When you clickAdd on merchandise is added to the Selected Items section. 

If you change the Unit Price or the Quantity, you will see that adjustment in the line item price. The line item price is the total from the unit price Unit Price and the Quantity.

You can also click Remove to remove selected merchandise products from the Selected Items section.

Also, a subtotal and selected item count displays under the Selected Merchandise section to help you keep track of the total selections.

Adding Selections

Once your selection is complete, you can click Save to add the cart item to the cart or Cancel to discard your selections. You will then be taken to the Verify Cart step.

If you forget to click Save and browse to another page, your selections will be lost.

Editing an Order

After submitting a cart, you may want to edit a cart item with merchandise products if you need to correct a mistake, add or remove merchandise, change a quantity, or handle a partial return. The Add Merchandise page is the part of the order process where you add or remove merchandise products included in the cart, or change the quantity or cost. When you're done using this page, the selected merchandise products are added to the cart with the chosen quantity and price with deselected merchandise products removed.

Reviewing and Adjusting Information

To help set context for changes to the cart item, you can review the selected customer and entity. These selections cannot be changed, but highlight to whom selections are designated to ship, and the entity offering the merchandise.

If you would like to change the customer or entity for merchandise products in the cart, we recommend that you delete it on the Verify Cart Step of the order process and add a new cart item with your desired settings and merchandise products selections.

Also, you can use Price Class to adjust the price class to use for the customer, which controls the prices for the displayed merchandise products.

Adjusting Selections

When you're editing, the Selected Items section displays the previously selected merchandise products, and displays the quantity and price for each.

You can browse and click Add to add additional merchandise products and click Remove to remove selected merchandise products from the Selected Items section.

In addition to changing selections, you can also adjust the Unit Price and Quantity. The price is of each is updated with each adjustment so you can see the impact of each change.

Adding Selection Adjustments

Once your adjustments are complete, you can click Save to add the updated cart item to the cart or Cancel to discard your changes. You will then be taken to the Verify Cart step.

If you forget to click Save and browse to another page, your selection adjustments will be lost.
