Your products are set up using product types which define what attributes the products have. For example, an event session product has a start and end date, but a merchandise product does not. Your products are purchased by your constituent using orders. [Read more](https://nimbleamshelp.atlassian.net/wiki/spaces/HELPSITE/pages/401932528/WIN26+Products)

Business Events make it simple for app builders and administrators to use declarative tools to react to common system actions and activities. For example, rather than building elaborate triggering criteria for when a process should execute, wouldn't it be convenient if the triggering criteria could just be a simple, predefined platform event? This prevents repetitive setup across multiple processes and makes it simpler for non-technical users, abstracting out the complicated condition building in a process. Now, they can just ask, "What do I want to have happen when the complicated thing happens?" This also empowers app builders and admins to trigger processes in a powerful new way: time-based events that trigger when date and time fields elapse! # About FASB Regulations and Using New Deferred Revenue Functionality

Nimble AMS has made enhancements to the revenue recognition engine that allows your association to have much greater flexibility around revenue recognition. This flexibility empowers associations to set up revenue recognition in compliance with updated FASB regulations.

According to FASB regulations, associations are required to recognize the revenue related to membership and subscriptions in greater detail. Updated FASB regulations want associations to recognize revenue when they deliver the service to the consumer. For example:

* If you have a publication product with twelve monthly issues shipped over the course of a year, then your association should recognize an appropriate portion of revenue every time an issue is shipped/delivered.

* If an event registration is sold, then your association should have the ability to recognize the revenue for it on a date when they consider that the service has been delivered (and/or the revenue is guaranteed), which is usually when the event has commenced or completed.

* If a membership is purchased, your association should recognize the revenue monthly, quarterly, or semi-annually based on the accounting period that you want to follow and the service that you believe has been delivered.

With updates to Nimble AMS made in the Spring '19 release, associations can now set up the number of pieces in which revenue recognition should be broken into, how much each piece will recognize, and when each of those pieces will be recognized. In a nutshell, associations can now configure:

* if revenue should be recognized in one lump amount or if it should be broken into multiple pieces.

* when each piece should be recognized.

* how much each piece of revenue recognition should be.

All existing products and custom products can use these new capabilities. Continue reading to learn how to enable your products to use this enhanced revenue recognition.
All deferred revenue capability that was available prior to Spring '19 is still fully supported with the new functionality. We have just added even more functionality as well as a simpler configuration. So it's a no brainer to switch!

Not quite ready to make the switch? No problem: we continue to support products using the old deferred revenue fields, but encourage you to update your products in time to comply with updated FASB regulations.

## Update Deferred Revenue Methods to Use New Deferred Revenue Functionality

The new deferred revenue functionality introduced in Spring '19 is practically ready to use out of the box because it really just comes down to using a new field named `Recognition` on the **Deferred Revenue Method** object instead of the legacy fields.

Staff need to populate the new field instead of the old fields, and then an administrator needs to update page layouts to show the right fields. Specifically:

1. **Accounting Staff** : Update each deferred revenue method record by manually transferring the value stored in the legacy field (`Membership Recognition` or `Event Recognition`) into the new `Recognition` field. We recommend deleting the value in the legacy field after the transfer to avoid confusion down the road.

   We recommend using a list view for deferred revenue methods to easily see all the information you need in a single window and make inline edits to the records.

   What happens if I leave the legacy fields populated?
   Nimble AMS first checks the new `Recognition` field. If it finds a value, it uses that value. However, if `Recognition` is blank, only then does it look to the `Membership Recognition` or the `Event Recognition` fields. This ensures backwards compatibility with deferred revenue methods using the legacy configuration.

   In other words, if you've populated the new `Recognition` field, it makes no difference whether or not the legacy fields are populated (but as mentioned earlier, we recommend clearing it out to avoid confusion, such as when reports are run).

2. **Admins**: Modify each of the existing page layouts for the Deferred Revenue Method object by doing the following:

   1. Remove the legacy `Membership Recognition` (NU__MembershipRecognition__c) field.

   2. Remove the legacy `Event Recognition` (NU__EventRecognition__c) field.

   3. Add the new `Recognition `(NU__Recognition__c) field.

      While creating a new Recognition field on the page layout, mark the field as `Required`.

      By default, Nimble AMS includes page layouts for Membership, Registration, and Subscription so be sure to update each one.

3. **Admins** : Set the correct `Recognition` Picklist Values Available for Editing:

   1. For the Membership record type:

      1. All On Start Date

      2. Frequency

      3. Straightline

   2. For the Subscription record type:

      1. All On Start Date

      2. Frequency

      3. Publication

      4. Straightline

   3. For the Registration record type:

      1. End Date

      2. Event End Month

      3. Event Start Month

      4. Start Date

      5. X Days from Start Date

      By default, because the Membership, Subscription and Registration record types pre-exist in orgs, all picklist values will be available for editing. That is why this step is necessary.

4. **Admins**: For the Membership and Subscription Deferred Revenue Method page layouts:

   1. Add the new `Frequency` (NU__Frequency__c) lookup field for Frequency based recognition support.

5. **Admins**: For the Subscription Deferred Revenue Method page layout only:

   1. Add the new `Publication` (NU__Publication__c) lookup field for Publication Issue based recognition support.

## Other Changes to Legacy Functionality

Here are other notable changes made to deferred revenue methods

* **Base Deferred Schedule Calculators Made Global and Extensible** : The existing `MembershipDeferredScheduleCalculator`, `RegistrationDeferredScheduleCalculator`, and `SubscriptionDeferredScheduleCalculator` classes have been made global, and virtual, for easy extension. This makes it easier for developers to create customizations to meet unique revenue recognition requirements.

## Reference: How Legacy Recognition Used to Work

For reference, the legacy fields only supported the following recognition methods, which is insufficient for the updated FASB regulations:

* `Membership Recognition`:

  * **Straightline**---takes an equal amount of the recognition for each deferral, for a length of a term until all revenue is recognized.

  * **All On Start Date**---recognizes all of the deferred amount at once on the first day of the term.

    These were also the only available values for subscription deferred revenue methods.

* `Event Recognition`:

  * **End Date**

  * **Event End Month**

  * **Event Start Month**

  * **Start Date**

  * **X Days from Start Date**

## Next Steps

The deferred revenue method documentation was updated in Spring '19 to include the additional capabilities. Specifically, you should read:

* The overview [Deferred Revenue](https://help.nimbleams.com/help/live/deferred-revenue.md) page includes updated general information as well as specifics about new fields for deferred revenue methods like `Frequency` and `Publication`.

* The [Create a Deferred Revenue Method](https://help.nimbleams.com/help/live/create-a-deferred-revenue-method.md) is updated to explain all the recognition types available for each record type, and what fields need to be populated based on the selected `Recognition`.

# Access Controls

To control what components constituents can view and interact with in Community Hub, you can grant or revoke user access to menu items, pages, cards, and buttons based on criteria you define.

You make components accessible to users by creating access controls which determine who can access what component based on criteria defined using:

* A true or false field on the Account object.

* A business rule record.

* An assigned or not assigned permission set.

* A SOQL query record.

* Custom criteria defined with development effort.

You can use access controls to grant access when criteria is met, or when it is not met; it is all up to how you set it up.

As an example, say you have a custom card in Community Hub which displays member-only news and announcements. To ensure only members can view and interact with this card, you could create a "MembersOnly" access control which evaluates whether the `Member` on the Account is selected, meaning the user is in fact a member. Adding this access control to the card ensures only member users can access it.

## Best Practices When Using Access Controls

As you use access controls, it's important to keep in mind that evaluating the criteria you define takes time, and can lead to a poor user experience if not done with a few considerations. Access controls involving permission sets, or those using a field on the Account object will have little effect on the the user experience, as the effort to evaluate this type of criteria is small. In contrast, access controls that use a SOQL query record can take much more effort to evaluate, and can have a negative impact page load time and performance. You can check the access query linked to access control in `Additional Settings` column of **Configure Access Control** and click the query to navigate to access query details page directly.

Here are a few tips for using access controls in Community Hub:

* As with everything, test first in your staging org. Test out the experience without the access control, and then enable the access control to see how that impacts the amount of time it take for the component to load. This will give you a good idea of what your constituents will experience.

* When working with an access control that uses a SOQL query record, ensure you [maximize the performance of the SOQL query](https://developer.salesforce.com/blogs/engineering/2013/07/maximizing-the-performance-of-force-com-soql-reports-and-list-views.html) (external).

While configuring the Cards on a page from Community Hub Setup app → **Pages** tab, the access control details can be easily seen without navigating to the Access Control tab. Once you select a page to configure, you can view the Access Control linked to a card in the column `Access Control Setting` on the Cards on Pagesection.

## Accrual Dues

Administrators can configure accrual billing to meet your association's needs, after minimal initial setup from our implementation team, who will work together with your organization to ensure this feature meets your needs. Using the Accrual Dues method over the Cash Billing method, the accounting impact of an order happens when your organization generates the membership renewals rather than recognition only occurring when the membership join or renewal is actually paid. At the actual time of billing, the membership income will be recognized, along with AR and later, when the payment is received, the payment is applied against the outstanding AR balance.

## Bulk Billing

Nimble AMS can configure Billing History to meet your association's needs.

## Entities

With Nimble AMS you can track and manage one or more financial entities. Each financial entity of your association managed within Nimble AMS is represented by an entity record. The entity holds a variety of settings and information used when entering orders and other financial processes, as well as analytics.

## Sales Taxes

You can charge and collect sales taxes on the merchandise products you sell to your constituents.

## Deferred Revenue

Deferred revenue is a liability that is created when money is received by your association for goods and services that are not yet provided. Revenue is recognized, and then the deferred revenue liability is eliminated when the services are provided. In Nimble AMS, deferred revenue is recorded for products that are related to a `Deferred Revenue Method` record. A deferred revenue method sets the type of revenue that will be deferred (membership, event, etc.) and the GL account where the deferred revenue will be recorded.

## Automated Information

To give you a full view of your constituents' interactions with your association, some information is automatically added or updated on their account:

### Account Financials

So you can see the constituent's current balance with your association, `Account Balance` is updated each day---typically at night---by the CalculateAccountFinancials scheduled job. You can also manually update this before or after this job has run by clicking the "Calculate Financials" link on in the Account Links section of the page layout of a single Account.

The CalculateAccountFinancials automated job filters and does not update accounts if there are no changes to the below fields:

* AccountBalance

* AccountMoneySpent

* TotalAffiliateBalance

* CreditBalance

* TotalAffiliateMoneySpent

### Membership Status

Membership related fields automatically populate when a constituent becomes a member and update throughout their membership term:

* `Status Membership Flag`, `Member Type`, `Member` , and `Lapsed` display the constituent's membership type and status.

* `Join On`, `Member Thru`, and `Lapsed On` display important dates for the membership.

You can update `Member Override` or `Lapsed On Override` to manually update the values in `Member` and `Lapsed`. This can be helpful if you've configured a process to determine membership terms, or if you want staff to be able to quickly change a status.

### Flexible Payments

An admin can add the Scheduled Payments flow to an account record page to display recent or upcoming schedule lines with a particular status to staff. The list of schedule lines is retrieved in realtime when you view an account record. [Learn more about viewing a constituent's flexible payments.](https://help.nimbleams.com/help/live/view-flexible-payments.md)

## Account Best Practices

### Deleting Accounts

Salesforce has their own [guidelines for deleting accounts](https://help.salesforce.com/articleView?id=account_del.htm&type=5) (external) and [certain relationships between objects](https://help.salesforce.com/articleView?id=relationships_considerations.htm&type=5) (external), such as master detail relationships, ensure that is the parent record is deleted, the child record will be as well. Nimble AMS uses lookup relationships between objects to ensure ease of access in Community Hub for constituents; however, these relationships are not marked to be deleted automatically if a parent record is. In the event that your organization needs to remove accounts, such as test accounts, it is greatly recommended that your administrator first review your object structure to ensure that child relationships are deleted first.

# Accrual Dues

Administrators can configure accrual billing to meet your association's needs, after minimal initial setup from our implementation team, who will work together with your organization to ensure this feature meets your needs. Using the Accrual Dues method over the Cash Billing method, the accounting impact of an order happens when your organization generates the membership renewals rather than recognition only occurring when the membership join or renewal is actually paid. At the actual time of billing, the membership income will be recognized, along with AR and later, when the payment is received, the payment is applied against the outstanding AR balance.

If you are interested in moving from Cash Billing to Accrual Dues post-implementation, this feature will first need to be added to your organization by Nimble AMS Support.

## Running Accrual Dues

1. In the tab bar, click ![AppLauncher.png](https://help.nimbleams.com/__attachments/a_6bf286eb1541ad6c2b43c67d33fb1accacea282d4a7c10045a4c6eeb95142378/AppLauncher.png?cb=a01edd61b4aec4d6d9cfbe6ecd055a56) , or in Salesforce Classic, click ![search.png](https://help.nimbleams.com/__attachments/a_d3c629f26d87aa8702e446efcacf652ab1f6943983e4eaf5effb0349f237d833/search.png?cb=9d73aef9022a5a8de1ef0dc8455cbb7c) Nimble AMS, Staff View, Button, All Tabs.

# Add a Template to a Lightning Page

You can easily display your Nimble Create template on any Lightning page, such as a record page, app page, or home page by using a custom Lightning component where you can select the template and specify the parameters.

These steps assume you are already familiar with Lightning App Builder. To learn about this tool, check out the [Lightning App Builder Trailhead module](https://trailhead.salesforce.com/en/content/learn/modules/lightning_app_builder).

Show Me an Image...
On this account record page, a Nimble Create template named **Opportunities and Contact Roles** is displayed in a **Summary** tab in the context of the **Twin Peaks** account.

![Template Viewer Lightning Component for Nimble Create](https://help.nimbleams.com/__attachments/a_c53104845f89d990401e32d4f293a59a434ee50cdc30ff349000aa4099e8fe45/image2018-11-13_10-30-40.png?cb=14fca1499c176f9aa0af7fcff09142af)

1. Open the Lightning page where you want to add the Nimble Create template.

2. In the **Lightning Components** Pane, in the list of **Custom** components, add the **Template Viewer** component to the Lightning page.

   ![Add Template Viewer to Lightning Page](https://help.nimbleams.com/__attachments/a_dca28b232b6c39bf08a7bde7b1055a30a6d4a54f1d1cbf97e1ec41f32118ec33/Template.gif?cb=8dd17cb39ccf1d6e9c3899043cf28eb1)

3. in the Properties Pane:

   1. Specify which `Template` to use.

      ![image2018-11-19_11-36-17.png](/__attachments/a_cf4cdf819db188804910c8ebf76f9fd2204e97b4318d445a60b270fadd038ab1/image2018-11-19_11-36-17.png?cb=2e585707937273ed89c1cb89e37741b9)

   2. If the template requires a parameter, in `Parameters` enter it as a key-value pair. For example: **param1=0016300000bUGheAAG**

      -- For `Parameters` on record pages, if your parameter key references a record ID, you can enter the value **recordId** to have the template dynamically render the template in the context of the record being viewed. Assuming the first parameter, the syntax is: **param1=recordId**

      -- You can enter multiple `Parameters` using an ampersand as a delimiter. For example, for three parameters you can enter: **param1=0016300000bUGheAAG&param2=recordId&param3=****0016300000bILACAAU**

From here, you can save your Lightning page and test to ensure your Nimble Create template correctly renders.

# Add Affiliation Page

## Individuals

On the Add Affiliation page, individuals can search for and affiliate themselves to an existing company. Individuals can click Add Affiliation next to a company in the search results to primarily affiliate themselves to the company and are taken to the My Affiliations page.

### Affiliating an Individual to a Company with an Invalid Email Domain

If the company has an authorized email domain(s) set and the individual has an email that is invalid, Add Affiliation does not display next to the company in the search results and a message displays under the company letting them know their email does not match the company's supported email domain(s) and lets them know they can change their email by browsing to the Edit My Profile page.

## Company Managers

Company managers can also use the Add Affiliation page to search for and affiliate a company location to their company. Additionally, company managers can affiliate a child company location to one of their company locations.

For example: A company manger can affiliate ISEN New York as a location under ISEN and also affiliate ISEN Rochester under ISEN New York.

For company managers, a message displays at the top of the page letting them know the company to which they are affiliating a company location. Company managers can click Add Affiliation next to a company in the search results to primarily affiliate it to the company and are taken to the Company Roster page where a message displays letting them know the affiliation was added.

### Affiliating a Company Location to a Company with an Invalid Email Domain

If the company has an authorized email domain(s) set, and the `Primary Contact Email` on the company location account has an email that is invalid, Add Affiliation does not display next to the company in the search results and a message displays under the company letting company managers know that either the company location is already affiliated to their company or the email does not match the company's authorized email domain(s).
`Primary Contact Email` on the company location account must be populated in order for it to be affiliated to a company using an authorized email domain(s).

## Searching

While searching, the entered information is checked against existing records to identify any matching company accounts that exist. If a matching account(s) exists, a list of companies displays in the Search Results card below. If more than 1000 results are returned in the search, the first 1000 display and a message displays at the top of the page suggesting company managers narrow their search results by adding additional criteria. Additionally, if more than 10 potentially matching individuals are found, the first 10 results are displayed, and they can click **Next** to see the next 10 results, etc. Finally, a message displays if no results are found.
The limit of 1000 records displayed is a Salesforce limit that can not be customized.

## Creating a New Company

Individuals and company managers can also click Add Affiliation to go to the Create New Company page and create a new company.

# Add Donation Page

## New Order

When placing a one-time donation for a constituent, the Add Donation page is the part of the order process where you select the donation options to include in a donation cart item.

Donation is a type of product in Nimble AMS, and is created to represent a one-time donation toward the entity of your choice.

When you are done using this page, the selected product(s) is added to a donation cart item, which is added to the cart.

### Getting Started

#### Choosing a Customer

You can use `Customer` to select the constituent who is the customer making the donation. This determines who will be listed on the donation cart item. By default, the `Bill To` account for the cart is selected as the customer but you can change this by entering the full or partial name of the individual or company and clicking **Search** button (Bill To Lookup), a **Lookup** window will appear where you can search for the appropriate name. Once you find the name you're looking for in the search results, click on it and the respective name will auto-populate in the `Bill To` filed. If more than one account is found that matches the name entered, a message displays to let you know and you can choose which account to use as the customer.

#### Choosing an Entity

If your association has multiple entities, you can use `Entity` to select the entity offering the product(s) you would like to select. By default, the configured primary product is selected.

#### Choosing a Price Class

You can use `Price Class` to select the price class to use for the attendee which controls the prices for the displayed donation products(s). If the customer is a current member, the selection defaults to **Member**. If the customer is not a member, the selection defaults to **Default**.

### Selecting Products

Donation products for the entity display and you can hover over each product name to see some record detail or browse the record for more information.

You can select the Donation products(s) for the customer and to which appeal the donation applies. Only appeals where `Status` is **Active** display.

You can also change the `Unit Price` and `Quantity` for each Donation product in the list, you can set the gift amount and accept multiple gifts to the same Ones.

### Adding Selections

Once your selections are complete, you can click **Save** to add the cart item to the cart or **Cancel** to discard your selections. You will then be taken to the Verify Cart step.
If you forget to click **Save** and browse to another page, your selections will be lost.

## Editing an Order

After submitting a cart, you may want to edit a cart item with Donation products if you need to correct a mistake, add or remove a donation, change a gift amount, or refund the gift.

When you are done using this page, the selected products(s) are added to a donation cart item, which is added to the cart, with the chosen term and price with deselected Donation products(s) removed.

### Reviewing and Adjusting Information

To help set the context for changes to the cart item, you can review the selected customer and entity. These selections cannot be changed, but highlight to whom selections are designated and the entity offering the selected Donation products(s).
If you would like to change the customer or entity for a donation in the cart item, we recommend you delete the current cart item on the [Verify Cart Step](https://help.nimbleams.com/help/live/verify-cart-step.md) of the order process, and add a new cart item with your desired settings and products selections.

Also, you can select the price class that controls the prices for the displayed registration products.

### Adjusting Selections

When you are editing, the Donations section displays the previously selected registration products(s), prices, and quantity.

You can select a registration product (s) with a click, which is then displayed in green. When a registration product selection is removed, it displays in red. In addition to changing selections, you can change selected appeals as well as adjust the `Unit Price` and `Quantity`. The price is of each is updated with each adjustment so you can see the impact of each change.
If you change the `Unit Price` or `Quantity` of a registration products(s) that was selected previously, it will not display in green.
